Complete guide to uploading photos that attract families and meet platform requirements

Before You Upload

Make sure you have:

  • Photos that you own the rights to use

  • Written consent for any people appearing in photos

  • High-quality images that showcase your program

Photo Upload Structure

Your provider profile allows you to upload two types of photos:

Photo #1: Environment

  • Displayed in search results and at the top of your profile

  • Should showcase your child care space

  • Focus on playrooms, classrooms, outdoor areas

Photo #2: Staff

  • Displayed in your "About Me" section

  • Can include staff members with proper consent

  • Should look professional and welcoming

Photo Requirements

Ownership & Rights

You must own all photos you upload

  • Only upload photographs that you personally took or have legal rights to use

  • Do not use copyrighted or trademarked images

  • Ensure photos are not subject to any third-party restrictions

Consent Required for People in Photos

  • Obtain written consent from anyone appearing in your photos before uploading

  • For children under 18, you must have guardian consent

  • Download our sample consent forms:

  • Keep all consent forms on file for your records

  • When in doubt, choose photos without people or blur faces

Content Guidelines

Photos We Accept - DO Upload:

Clear and bright photos with good lighting

Child care spaces - playrooms, classrooms, outdoor areas

Activities and artwork created with children in your program

Colorful and inviting environments that showcase your program

Staff photos with friendly, professional appearance and smiling faces

Clean, organized spaces that represent your program well

Photos We Cannot Accept - DON'T Upload:

Poor quality images: Dark, blurry, overly bright, or distorted photos

Inappropriate content: Close-ups, selfies with filters/text/emojis

Unprofessional elements: Hats, sunglasses, logos, text, or graphics

Messy or dirty areas that don't represent your program well

Sensitive information: IDs, passports, home addresses, license plates

Content that infringes on copyright or other rights

Inappropriate material: Racist, sexist, offensive, pornographic, violent, abusive, or profane content

Photography Best Practices

Technical Quality

  • Use natural lighting whenever possible for bright, clear photos

  • Avoid dark or shadowy areas that make spaces look uninviting

  • Check for proper brightness - not too dark or overly bright

  • Ensure photos are in focus and not blurry

  • Take photos from good angles that showcase the full space

What to Photograph

Environment Photos:

  • Playrooms and activity areas where children learn and explore

  • Outdoor spaces, playground equipment, and outdoor learning areas

  • Classroom environments that look organized and welcoming

  • Common areas where families gather

  • Reading corners, arts & crafts areas, and other special spaces

Staff Photos:

  • Professional, friendly appearance with smiling faces

  • Good posture and welcoming body language

  • Clear, well-lit photos without filters or distractions

  • Focus on looking approachable and trustworthy

Privacy & Safety

  • Choose angles that don't show children's faces clearly

  • Remove any personal information from view before photographing

  • Avoid showing specific addresses or identifying details

  • Focus on the environment and activities rather than individual people

Upload Process

  1. Sign in to your provider account

  2. Navigate to "My Profile"

  3. Click "Upload Photos"

  4. Select "Add Photo" and choose your images

  5. Review each photo against these guidelines

  6. Submit for approval

Review Process

  • All photos are reviewed before appearing on your profile

  • MyChildCarePlan.org reserves the right to reject photos that don't meet guidelines

  • Approved photos will display on your provider profile

  • You'll be notified if any photos are rejected

Common Issues

Problem: Photo was rejected Solution: Review the guidelines above and ensure your photo meets all requirements. Common rejection reasons include:

  • Visible personal information

  • People without consent

  • Poor image quality

  • Inappropriate content

Problem: Can't upload photos Solution:

  • First, make sure you've claimed your provider profile

  • If you see the message "The provider portal is not available in your area," you can still submit photos by contacting our support team

  • Message us via chat or email [email protected] with your two photos (Environment and Staff)

  • Include your provider name and license number when submitting photos

  • If you have portal access but still have trouble uploading, contact our support team for technical assistance
