How to Update Your Vacancy Information

Before You Start

  • You must have a claimed provider profile on MyChildCarePlan.org

  • Have your current vacancy information ready

  • Know the age ranges you currently serve

  • Estimated time: 5-10 minutes

Why Keep Vacancies Current

Keeping your vacancy information up-to-date helps:

  • Families see your current availability when viewing your profile

  • Connect you with families looking for immediate placement

  • Provide accurate information to families considering your program

Steps to Update Your Openings

1. Access Your Profile

  • Log in to your MyChildCarePlan.org account

  • The system will automatically bring you to your profile page

  • If not, click "My Profile" from your account dashboard

2. Start the Update Process

  • Click "Update your profile"

  • This will open the profile update form

3. Navigate to Vacancy Information

  • Look for the "Age Serve and Openings" section

  • Use the toggle buttons to expand or minimize sections:

    • Click the minus (-) button to minimize sections you don't need

    • Click the plus (+) button to expand the sections you want to update

4. Update Age Ranges You Serve

  • Review the current age ranges listed

  • Check the boxes for ages you currently serve

  • Update the youngest age you serve (in months or years)

  • Update the oldest age you serve

  • Example: "3 months old to 5 years old"

5. Enter Your Current Openings

  • In the vacancy/openings field, enter your available spots

  • Be specific about:

    • Number of openings

    • Age groups with availability

6. Verify Your Referral Status

  • Confirm your status shows "Accept Referrals"

  • This ensures your program appears on the public website

  • If this doesn't show "Accept Referrals," contact your local R&R

7. Submit Your Changes

  • Scroll down to the bottom of the form

  • Click "Submit Changes"

  • A confirmation pop-up will appear

  • Click "Yes" to confirm your submission

What Happens Next

Immediate Confirmation

  • You'll see "Your data has been saved" message

  • Your update status will show "Update pending"

  • The submission date will be displayed

Review Process

  • Your changes are sent to your local Resource & Referral (R&R) agency

  • Allow 1-2 business days for review and approval

  • Once approved, changes appear live on your profile

Checking Your Update Status

After submitting, you can check your status:

  • "Last Update Submitted" = Changes are pending review

  • "Last Update Approved" = Changes are live on your profile

Common Issues

Problem: Can't find the vacancy section Solution: Use the toggle buttons (+ and -) to expand different sections of the update form

Problem: Changes aren't showing after 2 business days Solution: Contact your local R&R agency or reach out to our support team

Problem: Don't see "Accept Referrals" status Solution: Contact your local R&R to verify your referral status in their database

Best Practices

  • Update your vacancy information at least every 60 days

  • Remove vacancy information when you're full to avoid unnecessary inquiries

  • Be specific about age groups and timing of openings

  • Keep contact information current so families can reach you
